The Zombie File Formats Refusing to Die — And Why Your Boss Keeps Sending Them
You open your email on a Monday morning. There it is — an attachment with a .doc extension. Not .docx. Not a Google Doc link. A .doc file, like it's 1997 and you're running Windows 95.
You sigh. You open it. You move on with your day.
This is the quiet tragedy of legacy file formats: they're technically obsolete, demonstrably inferior to what replaced them, and yet they keep showing up in professional and personal workflows like nothing happened. They're the zombies of the file world — dead on paper, very much active in your inbox.
So why won't they die? And more importantly, who's keeping them alive?
A Quick History of the Formats That Should've Moved On
Let's name some names.
.doc — Microsoft Word's original binary format, in wide use from the late 1980s through the mid-2000s. Microsoft replaced it with .docx (a ZIP-based XML format) back in 2007 when Office 2007 launched. That was nearly two decades ago. And yet.
.xls — The older Excel format, superseded by .xlsx at the same time. Still floating around in finance departments and government agencies everywhere.
.msg — Microsoft Outlook's proprietary email format. You've probably received one of these at some point and had absolutely no idea what to do with it unless you happened to have Outlook installed. It's a format so locked down that even Microsoft's own web tools don't handle it gracefully.
.ppt — PowerPoint's legacy format, replaced by .pptx. Still attached to emails by people who haven't changed their default save settings since the Bush administration.
.csv with broken encoding — Okay, CSV itself isn't going anywhere, but the way people generate and share them — with inconsistent encoding that turns names with accents into garbled symbols — is a persistent nightmare that's more about bad habits than the format itself.
The Real Reason These Formats Persist
Here's the uncomfortable truth: it's not really about the files. It's about people.
Muscle memory is powerful. If someone has been saving documents as .doc for fifteen years, they're not going to change that workflow because a better format exists. The path of least resistance always wins in an office environment.
Corporate IT is slow. Large organizations — government agencies, healthcare systems, financial institutions — often run software that was configured years or even decades ago. Changing the default file format in a company-wide Office deployment requires testing, approval chains, and someone whose job it is to care about that specific thing. Often, nobody's job is that specific thing.
Backward compatibility is a trap. Microsoft has worked very hard to make sure modern versions of Word can still open .doc files. That's genuinely useful! But it also removes the urgency to upgrade. If your old files still open, why change anything?
Institutional inertia is real. Regulated industries often have document retention requirements that specify formats. If a policy written in 2005 says "save as .doc," that policy might still be in effect today because updating it requires legal review and nobody wants to schedule that meeting.
The Compatibility Headaches These Formats Actually Cause
Let's not pretend this is all harmless nostalgia. Legacy formats create real problems.
Old .doc and .xls files sometimes render differently in newer software. Fonts shift. Tables break. Formulas that worked in Excel 2003 behave unexpectedly in Excel 2021. The older the file, the higher the chance that opening it in modern software produces something that doesn't quite look like the original.
.msg files are their own special circle of frustration. If you receive one and you don't have Outlook installed, you're essentially looking at a locked box. There are third-party tools and online converters that can open them, but none of them are seamless. This is a format that was never designed to be shared outside of Outlook, and it shows.
Then there's the security angle. The old binary .doc format was notoriously exploitable — macro viruses spread through .doc files throughout the late '90s and 2000s. The newer .docx format is significantly more resistant to that kind of attack because of how it's structured. Every time someone sends a .doc file, there's a small but real additional risk compared to its modern replacement.
So Why Do Tech Companies Enable This?
Because backward compatibility is a competitive advantage.
Microsoft knows that if they suddenly broke support for .doc files, every IT department in America would start seriously evaluating whether to switch to Google Workspace or LibreOffice. Keeping old formats alive keeps customers locked into the ecosystem. It's the same reason your iPhone can still sync with software from years ago.
There's also a business model in legacy support. Enterprise customers pay for extended support contracts that include things like continued compatibility with older file formats. Obsolete formats aren't just a historical accident — they're a revenue stream.
Can You Actually Move On?
If you have control over your own workflow, yes — and you probably should.
For personal use, saving documents as .docx, .xlsx, and .pptx instead of their legacy equivalents is a simple habit change that costs you nothing. If you're sharing files with people who might not have Microsoft Office, PDF is usually the smarter choice for anything that doesn't need to be edited.
For sharing editable documents more broadly, Google Docs, Sheets, and Slides handle collaboration better than emailing files back and forth in any format.
If you're in an organization where the legacy format problem runs deep, the fix is harder — but it often starts with someone simply asking "why are we still doing it this way?" Sometimes that question alone is enough to get a conversation going.
The .doc file in your inbox isn't going to disappear tomorrow. But at least now you know exactly why it's there — and exactly who to blame.
